Understanding the key terms used in HireSqueezy will help you navigate the platform with ease. Below are definitions of important concepts you’ll encounter:
A Job Posting Page serves as your branded webpage showcasing all your open positions. This page is hosted on a unique link that you can easily embed on your website or share with others to promote your available openings.
Automation refers to the tools that automatically handle repetitive tasks, such as sending emails or notifications, so you can focus on hiring the right talent. For example, automation can send an email to applicants acknowledging that their application has been received or informing them about the next steps in the hiring process.
Hiring flows are processes that group related steps for managing candidates, customized for each department. For example, HR might have a flow with five steps: newly applied, quick introduction call, in-person interview, final interview, and hired or rejected. Different departments, like IT, may need their own steps to match their specific hiring needs. Each flow ensures the recruitment process is organized and tailored, making it easier to track and manage candidates effectively.
Go to Add New Job Listing, enter the Title and Description, and select the appropriate Hiring Flow from the dropdown. Once done, your job listing will be live and ready to attract applicants.
If you need to stop accepting applications, for example, after receiving many applicants, go to the Dashboard, click on Job Listings, and find the job you want to unpublish. Click the Unpublish button next to it. We recommend unpublishing jobs instead of deleting them. This way, if you hire for the same role again in the future, you can easily republish the job without rewriting it.
Go to Job Listings and locate the job you want to delete. Click the Delete button next to it. Note: Once a job is deleted, it cannot be retrieved, so proceed with caution.
Go to Job Page to update your company branding. You can change the color scheme, upload your logo, set the job page language, and select a premium URL like hiresqueezy.com/c/mycompanyname for a professional and personalized job listing experience.
To connect your custom domain or subdomain, you must be subscribed to the Growth or Tailored plans. In the Job Page menu, you’ll find the custom domain field where you can enter your desired domain. Once the DNS records are propagated, your domain will work instantly with SSL enabled. After upgrading to the Growth or Tailored plan, you’ll receive an email with detailed DNS configuration instructions. If it feels overwhelming, our support team is happy to assist you!
In Settings, you can disable specific email notifications, such as the Monthly Digest, to control which updates you receive in your inbox.
With the Starter Plan, you can post up to 2 jobs per year. You can have 2 jobs active at the same time, but you cannot delete one and create another. Once you publish a job, it counts towards your yearly limit, regardless of whether you later delete it.
Additionally, the Starter Plan has a limit of 100 subscribers. Once this limit is reached, the subscribe button will automatically disappear from your job page.
With the Starter Plan, you cannot invite other colleagues or recruiters. The account is limited to a single admin, which is the user who created the account.
To ensure platform stability and reputation, the Growth Plan allows up to 10,000 subscribers for your job postings. Once this limit is reached, the subscribe button will automatically disappear from your job page.
The Growth Plan allows you to add up to 5 team members, giving you the flexibility to collaborate with colleagues and recruiters on hiring.
To upgrade to the Growth Plan, go to Settings, navigate to Billing, and select either the Monthly or the Discounted Yearly plan.
The Growth Plan offers 10,000 subscribers, up to 10 seats for team collaboration, priority support for faster assistance, and custom domain integration for enhanced branding.
Every business and department has unique hiring needs and processes with different steps. Think of it as the applicant's state: Applied → Invited for Interview → Hired. In our app, each stage in this process is referred to as a 'step.'
When you create a new job, you’ll be asked to select a hiring flow for it. All applicants for this job will progress through the stages defined in the selected hiring flow, ensuring a consistent recruitment process.
Set up email automation to send updates and notifications to applicants automatically when their application reaches a defined step in the hiring flow. You can create email templates using placeholders like {{firstName}}, {{lastName}}, and {{jobTitle}} to personalize the message. Each applicant will receive only one email automation regardless of how many times their status changes. To ensure safety and prevent mistakes, the app includes a 10-minute delay before executing the automation. If an error occurs, simply move the applicant to the correct status within this window, and the automation will not be triggered.
Scheduled Emails work similarly to Email Automation but include a field to specify a delay. For example, you can set a delayed email for new applicants to be sent 24 hours after they apply. This feature allows you to time communications strategically, ensuring applicants receive updates at the right moment in their hiring journey.

To set up Slack notifications: Go to Slack and install the Incoming WebHooks app, select a channel to send messages, copy the Webhook URL, and paste it into HireSqueezy’s automation settings. You’re all set!
Job subscribers are individuals who have subscribed to your job posting page. They automatically receive email notifications whenever a new job is published, keeping them updated about your latest openings. Think of it as a talent pool that every business should have to reduce time-to-hire and engage potential candidates more effectively.
To view and manage your job subscribers, go to Dashboard → Job Subscribers. From there, you can see the full list of subscribers and delete any subscriber if needed.
From Dashboard → Job Listings → View Applicants, you can access all applicants for a specific job. Use filters to view applicants in a specific step, and select multiple applicants to bulk move them to the next step in the hiring process.
From the Review Applicants page, click View Application to see all details about the applicant, including their CV, previous comments, and more. You can rate how well they fit the role and leave comments, which can serve as a reference for others involved in the hiring process.
From Dashboard → Switch Accounts, you can view all accounts linked to your email. Select an account from the list, and you’ll be instantly switched to manage that account.
When signing up for the first time, you’ll create a new account. After that, you can create additional accounts using the same email by navigating to Dashboard → Switch Accounts → Create New Account.
From Dashboard → Invite Other Users, you can invite additional users or recruiters to collaborate and assist you with hiring tasks.
